Terms & Conditions

Rules for using Imara Flow, public shops, mini stores, Contact Cards, dashboard tools, payment records and Imara Assurance.

Effective date: 7 June 2026. By creating an account, accessing a workspace, using a public store, buying through a shop, creating a contact card or starting an Imara Assurance transaction, you agree to these Terms.

1. The service

Imara Flow provides business management tools including customer management, products, stock, orders, invoices, receipts, money records, wallet records, petty cash, public mini stores, shop discovery, contact cards, reports, team access and Imara Assurance protected transaction workflows.

2. Accounts and responsibility

Account owners are responsible for their login credentials, workspace settings, staff access, store content, product details, customer records, payment requests, receipts, transaction terms and the activity of invited team members.

3. Trials and subscriptions

Imara Flow may offer a free trial. Continued access after a trial may require payment of the applicable subscription fee. We may suspend access for non-payment, abuse, security risk, unlawful activity or breach of these Terms.

4. Public shops and mini stores

Businesses may publish mini stores and product pages. The business is responsible for product accuracy, pricing, availability, descriptions, images, delivery or pickup arrangements, tax treatment, refunds, customer communication and fulfilment. Imara Flow provides the technology layer but does not automatically become the seller of the goods or services.

5. Store checkout and payment records

When a customer checks out, Imara Flow may create an order record, payment reference, receipt and business notification. Payment processing may be handled by a third-party gateway. Payment confirmation depends on successful verification from the payment provider or internal reconciliation.

6. Refunds, delivery and fulfilment

Unless expressly stated otherwise, refunds, delivery, replacement, warranty, product quality and fulfilment obligations remain between the buyer and the business that listed the product or service. Businesses should publish clear customer terms where necessary.

7. Contact Cards

Users may create public contact cards. Users are responsible for ensuring the details, photos, links and claims on their contact card are accurate and authorised. Imara Flow may remove cards used for spam, fraud, impersonation or unlawful activity.

8. Imara Assurance

Imara Assurance is a workflow for digital agreements, evidence, payment records and approvals. It is not a law firm, broker, arbitrator, insurer, guarantor, bank or regulator. The separate Imara Assurance Policy applies to protected transactions.

9. Wallet, money and ledger records

Wallet and money records are internal platform records used for tracking payments, fees, protected transaction balances, receipts and reconciliation. They are not a bank account statement unless expressly provided by a licensed financial institution or payment provider.

10. KYC/KYB and compliance

We may require identity, business verification or additional information before enabling certain features, including wallet actions, payouts, protected transactions, higher-risk activity or manual review. We may restrict, delay or block transactions where information is incomplete, suspicious or inconsistent.

11. Acceptable use

You must not use Imara Flow for fraud, scams, misleading listings, impersonation, illegal goods or services, unauthorised data processing, harassment, spam, harmful software, unauthorised access, abusive automation, regulated activity without approval, or any activity that creates legal, security or reputational risk to the platform.

12. Fees

Subscription, platform, gateway, Assurance or transaction fees may apply. Fees are shown where applicable. Payment provider fees may be separate from Imara fees. Taxes, duties and business-level obligations remain the responsibility of the business unless otherwise stated.

13. Availability and changes

We aim to keep the service available, but downtime may occur due to maintenance, hosting issues, payment provider issues, security incidents, third-party services or technical failures. We may update, improve, remove or restrict features where necessary.

14. Intellectual property

Imara Flow, Imara Assurance, design assets, code, branding, workflows and platform content belong to their respective owners. Businesses retain rights to their own business content, logos, product photos and uploaded material, subject to the rights needed for Imara Flow to host and display them.

15. Limitation of liability

To the maximum extent permitted by law, Imara Flow is not liable for indirect loss, lost profits, failed fulfilment by a business, inaccurate product listings, third-party gateway downtime, unauthorised user activity, customer disputes, or losses caused by data entered incorrectly by users.

16. Termination

We may suspend or terminate accounts for non-payment, abuse, security risk, unlawful activity, breach of these Terms, payment provider instructions, regulatory requirements or attempts to bypass platform controls.

17. Governing law

These Terms are intended to operate under the laws applicable in Kenya, unless a different written agreement states otherwise.
